This policy is written in English. The main product may be available in other languages; for any conflict between translations, we will rely on this English version for our internal operations unless local law requires otherwise.
1. Who processes your data
FreelanceKH operates the platform. Depending on configuration, related companies or hosting providers may process data on our instructions. This policy covers data handled through FreelanceKH websites and applications under our control.
2. Information we collect
Account data: name, email address, password hash, role (client, freelancer, or both), account status, and similar registration fields.
Profile and marketplace data: organisation name, bio, location, skills, portfolio text and images, project descriptions, proposals, bid amounts, milestones, messages between users, and files you attach where the product allows uploads.
Usage and technical data: IP address, device and browser type, approximate timestamps, security logs, and diagnostic data needed to keep the service reliable.
Billing-related data: platform balance movements, fee deductions, and notes recorded with adjustments (for example admin credits or automated fees).
3. Why we use your data
- To create and secure your account and to authenticate you;
- To display profiles, projects, and proposals to other users as intended by the product;
- To deliver messaging, notifications, and workflow features;
- To calculate and apply platform fees and maintain billing history;
- To detect abuse, fraud, and security incidents;
- To comply with legal obligations and respond to lawful requests;
- To improve the product (including aggregated or de-identified analytics where appropriate).
4. Legal bases (where GDPR-style rules apply)
Where the EU General Data Protection Regulation or similar law applies, we rely on performance of a contract (providing the service), legitimate interests (security, improvement, and fraud prevention), consent where required (for example marketing cookies if we use them), and legal obligation where applicable.
5. Sharing
We share data with other users as you direct—for example, your public profile, project listings visible on the marketplace, and messages you send inside the platform.
We use infrastructure and service providers (hosting, email delivery, analytics, etc.) under contracts that require appropriate safeguards. We may disclose information if the law requires it or to protect rights, safety, and integrity of users and the platform.
6. Retention
We keep data while your account is active and for a reasonable period afterward for backups, disputes, and legal compliance. Some records (such as billing logs) may be kept longer where the law requires.
7. Security
We use technical and organisational measures appropriate to the risk, including encryption in transit where standard for web applications, access controls, and monitoring. No online service is perfectly secure; please use a strong, unique password.
8. Your choices
Where applicable law gives you rights to access, correct, delete, export, or restrict processing of your personal data, contact us using the channels provided in the app. You may unsubscribe from non-essential emails using instructions in those messages.
9. International transfers
Our servers or subprocessors may be located outside your country. Where required, we use appropriate transfer mechanisms (such as standard contractual clauses).
10. Children
FreelanceKH is not directed at children under the age required to contract in your jurisdiction. We do not knowingly collect personal data from children.
11. Changes
We may update this policy. We will post the new version here and change the “Last updated” date. Significant changes may be highlighted in the product or by email where appropriate.
